Preparing Your Office for the Cleaner: A Short Checklist: F&L Cleaning Solutions blog cover

Short answer: Share your access and alarm procedures, tell us which areas or items must stay untouched, point out your high-priority spaces, and do a quick tidy of desks and floors before you leave. We bring our own equipment and products, clean weekly or more often, and follow the procedures you give us. Your first clean is free.

A short handover on the first call makes every later visit smoother. Here's what helps, and why.

Before the first clean

1. Write down access and alarm steps

Most of our cleaning happens after hours, so how we get in and out matters. Tell us:

  • how we get in: key, lockbox, swipe card or keypad code
  • the alarm arming and disarming steps, and the alarm company's number in case it's triggered
  • which doors, windows and lights to check before we leave
  • any building rules, such as after-hours sign-in, lift access or a loading dock.

We follow the access method you already use.

2. Mark what must stay untouched

We do not read, move or sort documents. It still helps to tell us about:

  • desks or rooms with confidential files, such as HR or client records
  • server cupboards, comms racks and equipment that shouldn't be wiped or unplugged
  • product samples, artwork, camera gear or anything fragile
  • treatment rooms or clinical areas, where clinical tasks and clinical waste stay with your team.

The Office of the Australian Information Commissioner expects organisations to take reasonable steps to protect personal information, including physical security of premises and records[1]. Locking away files and telling your cleaner what's off limits is part of that.

3. Point out the priorities

Every site has spots that matter most: reception, the boardroom before a big meeting, the staff kitchen, the bathrooms. Tell us where visitors go and where problems tend to show up first, and we'll note it on your cleaning list.

4. Confirm the frequency and schedule

We only do regular cleaning, weekly or more often. Agree the day or days and the time window, and tell us about public holidays, office closures or late meetings when the site won't be empty.

Before each clean: a two-minute end-of-day tidy

A regular cleaner cleans; they're not there to clear clutter. A quick tidy before staff leave means each visit can focus on hygiene:

  • Clear desks of loose papers and personal items so surfaces can be wiped.
  • Lift bags, boxes and cables off the floor so floors can be vacuumed and mopped properly.
  • Rinse and stack dishes, or load the dishwasher, and wipe up spills.
  • Clear out old food from the fridge on a set day each week.
  • Push chairs in and leave walkways clear.
  • Close and lock anything that should stay private.

Keeping floors clear also helps with safety. Safe Work Australia lists clutter, cables and wet or contaminated floors among the common causes of slips and trips at work[2].

Facilities and your duties

Businesses must provide and maintain facilities such as toilets and eating areas, and keep them clean[3][4]. A regular cleaner helps you meet that duty, but it works best when everyone knows what's expected. A one-page note in the kitchen about dishes and the fridge goes a long way.

What we do on our side

  • Bring our own equipment and products.
  • Follow your access and alarm procedures every visit.
  • Clean to the list we agreed when we quoted.
  • Leave the site locked and alarmed the way you left it.
  • Take your feedback after the first clean and adjust the list.
