Cleaning for Co-Working and Shared Office Spaces: F&L Cleaning Solutions blog cover

Short answer: Co-working spaces and shared offices need cleaning that's built around shared use: hot desks, a kitchen used by dozens of people, bookable meeting rooms and members' belongings left out overnight. We clean weekly or more often, usually several times a week for busy spaces, mostly after hours, with our own equipment and products. We never read, move or sort members' papers. Your first clean is free, then one flat monthly price.

What makes shared spaces different

In a normal office, one team uses the space and knows the rules. In a co-working space or a shared serviced office:

  • many different people use the same desks, chairs and meeting rooms
  • the kitchen is used all day and nobody "owns" the dishes
  • members leave laptops, papers and personal items on desks
  • the space is often open long hours, so the cleaning window is short
  • the operator, not each member, is responsible for the facilities

Queensland's Work Health and Safety Regulation requires a business to ensure, so far as is reasonably practicable, that toilets, drinking water, washing and eating facilities are in good working order and clean, safe and accessible, having regard to the number of workers among other things[1]. Safe Work Australia's model Code of Practice says cleaning frequency should take into account the number of people using the facilities and the likelihood of contamination[2]. A shared kitchen used by forty members is a very different job from one used by five staff.

What we clean in a co-working space

We agree the scope when we quote. Typically:

Hot desks and open areas - Clear hot desks wiped down - Desks with belongings: we clean around them and never move papers or devices - Chairs and soft seating spot-cleaned, floors vacuumed or mopped

Kitchens - Benches, sinks, splashbacks, appliance fronts and handles - Dishwasher loaded or unloaded, if agreed - Bins and recycling emptied and relined

Meeting rooms and phone booths - Tables, chair arms and whiteboard ledges wiped - Shared screens' remotes and booking panels wiped with a damp cloth

Bathrooms and end-of-trip facilities - Toilets, basins, taps, mirrors and floors - Showers and change areas, if you have them - Consumables refilled from your stock

Touch points - Entry doors, access readers, light switches, printer panels and lift buttons in your tenancy

Members' belongings and privacy

Shared spaces are full of other people's things. We do not read, move or sort documents, and we clean around anything left on a desk. The OAIC's guide to securing personal information suggests clean desk policies and controlled access as practical physical security steps[3]. A simple house rule, such as "clear desks are cleaned, cluttered desks aren't", makes nightly cleaning faster and protects members.

Timing the clean

Many co-working spaces close late or have 24/7 member access. We agree a cleaning window when the space is quietest, and follow your access and alarm procedures. Mopping when people are around raises slip risk, and Safe Work Australia recommends cleaning schedules and drying floors after cleaning[4], so floors are best done in the quietest window.

How often

  • Small shared office (under 15 people): often weekly or twice weekly
  • Busy co-working floor: usually daily or most weekdays
  • Event or meeting-heavy spaces: extra visits after big events, agreed in advance

These are starting points. We'll suggest a frequency after a quick call about member numbers and opening hours.

Questions to settle with your cleaner

  • What happens to dishes left in the sink?
  • Are desks with belongings skipped or cleaned around?
  • Who restocks consumables, and from whose stock?
  • What's the cleaning window if members have 24/7 access?

Consumables and waste

Shared spaces go through soap, paper towel, toilet paper and bin liners quickly. Safe Work Australia's model Code says consumables such as soap and toilet paper should be replenished regularly[2]. Agree who buys them and where they're stored; we refill from your stock on each visit. Check your building's rules for recycling and waste separation, so the bins we take out end up in the right place.
